Booking Terms & Conditions for
"Queer Spirit Camp 2025"
Your purchase of one or more passes implies that you have read and agree to all the terms and conditions given here and in any of the linked pages (such as those relating to crew places, payment plans etc. All terms and conditions regarding passes fall under the jurisdiction of UK law and by purchasing one or more passes you are entering a legally binding contract.
Passes, Wristbands & Refunds
You must be aged 18 or over on 15th August 2025 to buy a pass(es) independently. Under 18s must be accompanied by a responsible person of 18 or over. Children aged under 6 on 15th August 2025 will be admitted free, but must have a pass. It is your responsibility to check that you have the correct pass(es). Please do not bring more dependants than you can easily be responsible for personally throughout the festival.
Camper vans or other type of live in vehicles will not be allowed on site unless you have pre-registered them by indicating this on the registration form. Caravans are not allowed unless we have agreed this with you before the event.
When you book, we will send you an email confirmation which will contain an e-pass in PDF format which you should aim to bring to the camp, either by printing or by display on a smart phone or other device. At the gate your pass will be checked and, if wristbands are being used at the event, each person will be issued with one. Wristbands may be checked at any time during the event. Please try to keep your wristband accessible. Anyone without a wristband, or wearing a wristband that has been tampered with, may be ejected. Broken wristbands may be replaced with proof of purchase at the site office but we may not be able to replace lost wristbands.
If you have booked but are then no longer able to attend the event, please contact us by email or via the website as soon as you know. Provided you contact us at least 60 days before the event, we will offer you a full refund minus a 5% administration charge. If you cancel between 30-59 days before the event, we will refund 50% of what you paid. In all other cases, including but not limited to money already paid for as part of a payment plan, we will not be able to offer you any refund once you have made the booking (as we will have already made commitments and paid funds to the venue, crew etc.) If we have to cancel the event, we will aim to give you at least two months' notice and we will return your booking fee in full.
Payment
We need to have received and processed your payment in full before your place at the camp is fully confirmed. If paying by card using the on-line booking system, this usually happens within 30 minutes. If there are any issues with your payment, we will attempt to contact you (usually within 2 working days) to let you know and to help you complete your transaction. If you are paying by other means (bank transfer etc) we will generally confirm by email when the transaction has cleared and your booking is valid. Queer Spirit is not VAT registered.
Attendance & conduct
By signing up you are committing to attend the camp - if you do not attend or if you leave early we will not be able to offer you any discount or refund on the ticket price.
Parents/carers or guardians are responsible for their children at all times.
During the camp there will be a mixture of topics and it is your responsibility to ensure you fully understand the overall content of any workshop or ritual you are attending and what interaction / connection there will be between you and other participants. If you have any questions or uncertainties, you should talk to the facilitator.
Any form of aggressive, inappropriate, threatening or non-consensual behaviour towards facilitators, staff, crew, volunteers, traders, entertainers or other participants will not be tolerated. Any such behaviour will be addressed and if not rectified immediately will result in you being asked to leave. You may also be turned away from future events.
In the camping areas you agree to keep sound to levels that are respectful to others. Please aim not to bring personal sound systems (mp3 players etc.) to the camp (there will be lots of live music going on!) If you do wish to bring a personal music player etc please ensure it is one that can only be heard by you. We ask you to respect any official that asks you to be quieter in the area you are in. If we feel you are continuing to make excessive noise, we reserve the right to confiscate for the duration of the festival any sound systems or instruments that we feel are or are likely to operate at excessive volume. Drumming is not allowed anywhere on site after 10pm.
You agree to camp only in the designated areas on site.
Nudity is allowed in all areas of the Queer Spirit camp area, but not in the rest of the grounds owned by Bridwell Park. Please be sensitive to the reactions of young people or those not used to clothing optional spaces.
Dogs are allowed on site but must be kept on a lead at all times.
Smoking is not allowed inside any enclosed structures including temporary structures such as tents, marquees etc.
No unauthorised trading will be allowed on site.
The Queer Spirit camp aims to be a fun, inclusive LGBTQI+ event and in general we will only exclude people if they breach the terms and conditions or they fail to comply with the event ethos (https://queerspirit.net/about/ethos), however we reserve the right to exclude or to remove anyone from the camp, without necessarily stating the reasons for doing so.
Arrival time and access to the site
Public access to the site will be available from midday on Friday 15th August 2025. Please note that the community café will not be open untill the evening on the Friday, however the Bridwell park café will be open from midday.
Vehicles (other than emergency vehicles) may not enter the site between the hours of 10pm to 10am during the event.
Information and emails
Before the camp we will send one or more messages to the email address you originally registered with and it is important that you read these before attending. You may wish to add the email addresses
During the event, we will make every attempt to clearly post information about all events taking place during the festival so you have plenty of opportunity to find out what is involved before taking part.
Safety
You are responsible for your own physical, mental, emotional and sexual well-being and safety during the event. This includes notifying us at registration of any conditions that may impact on others or your safe participation. Although we aim to create safe and supportive spaces in all parts of the event, no direct liability can be accepted by us for your well-being and safety. We will always try to ensure during the event that there is a support mechanism for you to use with your physical, emotional and sexual well-being, however the primary responsibility of self-care is yours. If you have a support person / carer in your day to day life, we would strongly recommend that you consider them coming with you to the festival. If you are attending the event with anyone under 18 years of age, you also accept full responsibility for their well-being and safety at the festival.
You are not allowed to create open fires anywhere on site. Barbecues that have long legs to keep them off the ground are allowed providing you ensure that they do not scorch the grass. It is your responsibility to bring suitable means to extinguish your barbecue such as a small fire extinguisher. Please note that disposable barbecues are not allowed. Fire pits may not be used in the main camping areas.
Gas camping appliances may only be used according to safety instructions and in the open air, or in properly fitted camper-van/caravan (gas cookers and barbecues can emit carbon monoxide - you cannot see or smell it but it is a deadly gas and so you need to be using in conjunction with a correctly fitted chimney.)
Refuelling and changing of gas cylinders must be done outside. Please do not bring large gas cylinders (over 3kg) on site without prior agreement.
Sauna / Hot Tub - If a sauna is on site, you agree to read and follow all displayed health and safety information before using these facilities. You agree that use of the sauna and hot tub is at your own risk. We ask that everyone uses a towel to sit on.
Parkland Deer
The festival venue has a herd of Parkland Deer which roam freely all year round within designated areas of the Park. The deer must never be approached by any persons coming to the festival for any event whatsoever. Whilst the Deer are a very beautiful and prominent feature of the venues landscape, they should always be considered a wild and dangerous species who would not hesitate to act vigorously and aggressively to protect their calves or themselves. If provoked, a Deer could seriously harm if not kill a dog, another animal or human being.
Ethos
Queer Spirit supports sustainability, respect for the land and respect for other people and their beliefs. We encourage you to find ways to share your travel and to find ways to offset any carbon emissions involved in your travel.

Please use recycling points provided and take your rubbish home with you if possible. Remember, putting something into a bin does not make it disappear! Please do not drop cigarette butts on the ground as this can cause serious harm to animals – there are deer roaming freely in this venue. Please put them in a fire or a bag or jar that you can dispose off when you leave the site.

Please ensure all toiletries you bring to the site are eco-friendly - the toilets and hand basins on site will have liquid hand soap available.

Please aim to avoid the use of wet-wipes; if you need to use them, bring only biodegradable wipes.

Please respect the site boundaries. Event particpants may not enter private property on or in the vicinity of the site.
Property
You are responsible for taking home everything you brought with you to the event and for taking home or recycling any litter / rubbish. If you find you have left something behind, please contact us as soon as possible. We will endeavour to keep lost property where practicable for about two weeks after an event before donating to charity or recycling it.
Other than authorised and controlled by the organisers, no generators (petrol, diesel, bio-diesel), laser devices, fireworks, airborne lanterns (Chinese lanterns etc) or drones are permitted on site.
Ticket holders may bring alcohol on site for their personal consumption.
The site owners and Queer Spirit cannot accept any responsibility for your personal property so please do take care of your own belongings and give consideration to what you bring with you.
Privacy
All information you give when booking for the event is used as part of the process necessary for the booking. You are automatically subscribed to the relevant mail list(s) on queerspirit.net so you will receive items of email that are relevant to the event as well as other information that we feel may be of interest to you. You can modify your subscription or select to unsubscribe at any time. All information you give us is held according to UK data protection guidelines but we cannot offer any legal warranty that your information is secure. You can read our privacy policy here.
We will not let anyone know you attended and expect the same conduct of all people who attend the event. We respect the privacy and confidentiality of all who attend the event and expect all participants to also follow this with respect to everyone involved with the event.
Photography / video
Please always obtain consent before taking any photographs / videos of individuals or groups.
No photographs / videos are to be taken in workshop spaces without express permission of the workshop facilitator.
No photography / videos to be taken during rituals.
We may take some official photographs / film for publicity purposes and when we do so we will always aim to make it clear we are doing this. You have the right to request any images that you are identifiable in be cropped or modified to remove you from the image. If that is not possible we agree to delete those images.
No unauthorised use of recording equipment for professional or profit-making purposes will be allowed anywhere on site.

Crew Places
We are offering places for people who wish to work a set number of hours in return for a reduced or free payment to attend the event. The crew of any event plays a key role in helping ensure the event runs smoothly and so we ask you to agree to the guidelines for crew (there may be specific guidelines for each type of crew member). These are in addition to the terms given here.
You may be asked to pay a small deposit to reserve your place as a member of the crew. This will be returned to after you have completed the agreed number of shifts in your role. It will be retained by ourselves if you fail to attend the event without letting us know at least a month prior to the event (to ensure we can find someone to replace you), or you attend but fail to complete the agreed number of shifts/hours determined by your role.
Trader Places
Standard tickets are for personal use only, and not for any form of commercial activity.

Essential Reading for Facilitators
This is for all people at the festival who will be leading workshops, rituals and ceremonies and are in addition to the general terms and conditions that are agreed by all people attending the festival.
We use the term “activity” in this document to cover workshops, rituals and ceremonies.
You will get one free adult ticket to the festival in return for holding two activities (or one plus assisting in other ways at the festival.) Alternatively, you can hold one activity and in return we will give you a 50% discount on your ticket. In all cases we ask the following commitment from you:

We provide the main facilitator with one ticket for them. If you plan to bring one or more assistants, they must each hold a valid ticket, either purchased for the festival or allocated for another worker role at the festival. If you will be bringing any of your children (under 18), they will each get a free ticket, however you must ensure that you include them on the registration form.

All activities you provide should be made available with no charge made to the participants.

Apart from some hour-long practice classes, all workshops have a two-hour slot: this is designed to give you a 90-100 minute session, with enough time to tidy up before the next facilitator arrives and for your participants to get to their next event without rushing. It’s also up to you to leave your space clean and tidy for the next group.

We will have a range of spaces available for activities and you can specify on your application if you have a preference. We will aim to accommodate all preferences but no guarantee can be made that you will be given the particular space you request.

There will be three types of workshops: (a) those suitable for all ages, which may be especially geared towards younger people, (b) those that young people can attend with a parent/guardian, (c) those that are adult-only. You must specify the type of each workshop you will be offering as we will then ensure it is clearly advertised in programmes, on notice boards etc.

We have a safeguarding team and ask you work with them to ensure that our safeguarding policy is followed. Although we will offer all assistance that is practical, you will have ultimate responsibility for all people that attend your activity.

All activities will be pre-programmed before the start of the festival in terms of location, length, general description and age suitability and so once we have set the programme you will not be able to change any parts of your activity. Please do therefore keep us informed of any alterations that you may want to make during the festival planning stage.

The site regulations mean that naked flames, such as from tea lights and unenclosed candles etc, are forbidden inside domes, yurts, and other enclosed structures. Fire and flames are allowed in the outside workshop areas but please do let us know about this in your application.
- If your workshop involves using incense or smudging sticks etc. please let us know this prior as part of your application. Please be aware that you will need to check in with those in your workshops that they are okay with incense/smudging etc.

We will have an amplified sound system and some lighting available in the main marquee which will be operated by our festival technicians. If you wish to use any of this, you should let us know when you submit your application. If you wish to use amplified sound systems elsewhere you must let us know as part of your proposal. No electrical amplification systems will be allowed to be used on site without this prior agreement.

The Healing Area, Queer Spirit Festival 2024
The Healing Area
The healing area last year was a great success so we are planning a bigger, better one this year! It will be a quiet space with a workshop area, individual therapists offering a range of treatments and a place to retreat to when you need time out or space for reflection.
The Healing Area workshop space:
We will have a regular daily program plus some variable afternoon offerings. All workshops will be free.
Healing Area Workshops Daily Program
meditation: 8am till 9am
sharing circle: 10:00 till 11:30
variable offerings in the afternoon, information tent will have the list
12 step meeting: 6pm onwards.
We are looking for workshop leaders and space holders for this space (this is run separately from the main workshops which have their own application forms etc). We will offer a free ticket to a meditation teacher, holder of the 12 step space and holder of the sharing circle. You will need to apply in advance and agree to run your workshop/space holding every day for all days (Friday, Saturday & Sunday) If you are teaching yoga we will need your insurance. Please note this does not include crew food you will need to bring your own.
In addition to the 3 core workshops we are also keen to have other healing area workshops. If you have something you would love to share at the festival that is related to healing please fill in the online application form.
Therapists - Healing Dome
We know our community includes many amazing therapists and we would like to invite you to offer your skills at Queer Spirit. We have 2 options - dedicated therapist or just offering a few treatments in the shared healing dome.
Dedicated therapists
For therapists that wish to come and make this the focus of their festival. We will expect you to bring your own structure and all the equipment that you need to work. You will have a pitch in the healing area and can put a notice board and manage your own bookings.
We are planning to have 4/5 massage therapists and 3/4 other offerings - a total of 8 therapists.
You will need to buy a ticket and donate 10% of your takings at the end of the festival.
Offering a few treatments using the shared healing dome
We will supply a space that you will share with other therapists. This will include a couch and it is up to you how much you charge and when you choose to work. There will be a booking system for the shared space held in the healing area.
You will be expected to supply any equipment that you need such as oils/couch roll/towels/blankets/etc
You will need to buy a ticket/have a workers place and donate 20% of your takings to the festival at the end.
If you wish to offer treatments at the festival you will need to apply in advance.
Before the Festival
- Please register by completing the registration form and supply:
- A photo for the website
- Description of the treatments (including prices) that you wish to offer to be put on the website and in the information tent
- Supply information on your structure if you coming as a dedicated therapist
- Your insurance documents, these will be held by the organisers in the production office for the duration of the festival
- Buy a ticket for the festival or arrange your workers place, being accepted as a therapist does NOT grant you access to the festival

Traders terms and conditions
We ask that all people we accept to the festival to offer goods / food for sale agree to these guidelines. Please note these are in addition to the general terms and conditions (agreed to by all those attending the festival) that we expect you to read and agree to also.
The festival is open to the public from 2pm on Thursday 15 August and we are expecting more than 600 people on site, some of whom will be under the age of 18. We are looking for people that would love to attend the festival but also have the opportunity to trade whilst there and who support the Queer Spirit ethos around
being an LGBTQI+ festival and around respect for the Earth.
If we accept your request to trade at the festival, you will need to purchase at least one standard adult ticket to confirm your place and agree to pay us 10% of your takings. You also agree to the following:
- All applications must be received no later than 1 August 2024
- You must only trade items that were approved from your application. Subletting any part of your stall / pitch is not allowed.
- Public liability insurance is your own responsibility.
- You will bring your own structure(s) to create your stall which you will let us know the details of as part of your application – ideally a photo of it would help (both for us to arrange the trading area plus we may use it on the website and in publicity)
- You agree to giving any access required by the site inspection team needed to inspect your structure.
- No electrical power will be provided for you and no generators of any kind are allowed on site unless approved by our site manager, so if you wish us to consider allowing you to provide your own solar generator you must inform us of this as part of your application.
- If you wish to use credit/debit card processing, you should be aware that no landline or Wi-Fi signal is available, so it is your responsibility to confirm your system will operate over the available mobile networks on site if required.
- No amplified sound systems are allowed.
- Your pitch location will be decided as part of the pre-festival event planning and cannot be changed once allocated.
- You will arrive for set-up any time from 9am on Thursday 15 August 2024 and will ensure that all vehicles are back in the car park or off site and that all structural work is completed no later than midday to ensure adequate time for final inspection before the gates open to the public (at 2pm). You can start to trade any time after you have been signed off.
- Trading ends at 10pm on Sunday 18 August (except catering outlets) and you can bring vehicles on to the site any time on Monday 19. Please be aware of the daily gate night closure as detailed in the general terms and conditions.
You must be fully off site by 6pm on Monday 21 August 2023. - You commit to be open for trading for a minimum of 4 hours each day on Friday, Saturday and Sunday of the festival if you are trading for the whole festival. If you are trading only on the Market Day (Saturday 17th) this does not apply.
FOR FOOD
- If you are selling food it must be 100% vegetarian or vegan and clearly marked as such. You will need to let us know what council you are registered with and to provide your Food Hygiene rating plus a copies of any insurance and other documentation you have. If you are using any LPG equipment you will need to show us a gas safety certificate and any training certification for people working with you.
- No plastic crockery or cutlery is allowed on site. You can offer pottery/porcelain plates and cups and metal cutlery using a returnable deposit scheme. You can also use biodegradable items.
- You will be required to carry adequate fire-fighting equipment.

Additional Terms & Conditions for
"Queer Spirit Festival 2025" Glamping
These terms and conditions are additional to the main camp terms and conditions and apply to all those booking Glamping tickets.
Your purchase of one or more glamping tickets implies that you have read and agree to all the terms and conditions given here and in any of the linked pages. All terms and conditions regarding tickets fall under the jurisdiction of UK law and by purchasing one or more glamping tickets you are entering a legally binding contract.
Payment and duration
Each glamping ticket gives access to one dedicated glamping structure for 1 or 2 persons. If you wish to have more people staying, then you must get in touch with us before booking to see if it is possible to arrange this.
The structures are bell tents that come with two framed beds, set up as singles but can be put together by the occupants. They come all fully furnished with 2 frame beds, winter tog duvets, 2 pillows, linen, throws, matting throughout, solar lighting, tables, mirrors, bins and bunting.
The glamping ticket only covers your accommodation, and so you must also have purchased the correct number of camp tickets.
Glamping accommodation is booked for the entire duration of the event. If you will be arriving later than the start of the event or leaving before the end, please let us know this in advance if possible.
Arrival, departure and access to your accommodation
On arrival, you should go to the information caravan where someone will be available to check you in and take you to your accommodation. They will check with you that you are happy that there is no damage.
On departure, we ask that you again go to the information caravan, so we can check you out and confirm that there are no breakages, damage etc. If you do not do this, and we find damage when the event has closed, you may be liable for costs to make good any repairs that are required.
Damage and Breakages
Please take care when staying in glamping accommodation. Please always remove shoes and boots inside glamping structures.
You are responsible and liable for any breakages or damage that you cause to the accommodation and its contents. Please report any incidents to a camp steward when they occur. We may deduct some or all of your deposit for making good or replacement of broken items.
Please do not cook anything inside the tents.
Tea lights and unenclosed candles are strictly forbidden inside glamping structures.
Smoking is not allowed inside glamping structures.

Before the event we may send one or more messages to the email address you originally registered with, containing information about your glamping accommodation, and it is important that you read these before attending. You may wish to add the email addresses
